| Instructions for Exporting Customer Marketing Names into ExcelŽ Using Notepad |
|
Create a Customer Marketing "List" export file. The example exports the Name and Address information only, but it will work with any of the data. Open the exported file into a text editor, such as Notepad, which is included in all Microsoft® operating systems. You will see the following: ![]() Notice that the first character for each line is a letter. This letter represents the record type. Remove the top line only by deleting the "A" record. Make sure that the first space in the new file is the B record (there are some spaces on the A record beyond the X's that must be removed). Save the new file as a .txt file. See below: ![]() Now, open Excel®. Open the file and the Import Text File Wizard will display. ![]() Import it as a fixed width file. Click "Next," then "Finish." The file will be in a format that can be manipulated and exported from Excel®. To remove the characters from the account number fields, edit it in your text editor. Important Note: When complete, make sure that the names and addresses line up correctly with the right records. Simply confirm a few names and addresses with your Customer Marketing file. Multiple Record Types: This example shows how to handle a single record type (B). If you export multiple records you will see more than one record type per account. For example A, C or D record lines. To import them as a single record for each account, you must remove the end of record marks so each account is represented by one line.
To do this, open the .txt file in Word®. Go to Edit › Replace.
In "Find what" you can enter "^p" (or click the "Special" button and select "Paragraph Mark"). In "Replace with" enter a space (" "). Then activate the "Replace All" button.
Save the document as a .txt file, open it in Excel® and proceed as above.
