Instructions for Exporting Customer Marketing Names into ExcelŽ Using Microsoft WordŽ
Create a Customer Marketing "List" export file. See the Imager 2000 documentation for details.
 
Combine multiple record lines to a single record line. Open the exported file into Microsoft Word® (Microsoft Word 2003® in this example). You will see the following example which displays multiple records denoted by a letter at the beginning of each line. One record is listed on each page.

  1. Notice that the first character for each line is a letter. This letter represents the record type.
  2. On the Tool bar, activate "Edit" then "Replace" (or hold the Control -Ctrl- key and type the letter "H" to open the Find and Replace Dialog Box. 
  3. In the "Find What" space either type "^p" or activate the "Special" button at the bottom of the form and select "Paragraph Mark." 
  4. In the "Replace with" text box enter a single space. 
  5. Activate the "Replace All" button.
 
Save the new file as a text file. On the toolbar of Word®, activate the "File" > "Save As" Function to open the "Save As" dialog box:

  1. Enter a distinct file name in the "File Name Dialog Box"
  2. Activate the drop down list in the "Save as Type" text box and select "Plain Text (*.txt)" option and the file conversion form will display:

Activate the "OK" button and close the file in Word.®
 
Import the file into Excel®: Now, open Excel® (Microsoft Office Excel 2003® in this example). Open the file ("File">"Open" or Ctrl + O) and the Import Text File Wizard will display. In earlier versions of Excel® you may need to find the Import Utility on the Edit or Tools section of the menu bar that will perform a similar function.

There should now be only one row for each customer record.

Activate the "Next >" button as the defaults are correct. A dialog box for step 2 of 3 will display:

Carefully review the data you are importing. Follow the instructions on the form to create and move the vertical lines which separate each field in your export. Compare your actual records to the data being exported to identify where each field ends and begins.
 
  1. Example - in this file, double click the first vertical line to remove the field separator as it is trying to separate the salutation field.
  2. You will find other fields where you need to click once between records to insert a field separator.
Activate the "Next >" button, then the "Finish" button on page 3 of 3 unless you want to reformat the values of each field, but that can also be accomplished later in Excel® (depending on how you use the data) and is beyond the scope of this document.
 
Congratulations! You now have your Customer marketing in an Excel® file. You will probably want to remove the fields that were created for each Record ("A", "B", etc.) and can reformat your data as needed.
 

Important Note: When complete, make sure that the names and addresses line up correctly with the right records. Simply confirm a few names and addresses with your Customer Marketing file.
